Electronic Records Management (ERM)

Records management is the “Evidence” which reflects the policies, the laws, the legislation, and the functions in the company. However, due to the increase of these records which are extremely important, people try to keep them safe and secure. So, recently, new programs appeared that manage,store, and track these records electronically to save money, time, effort and to keep them safe.

Electronic Records Management Shall

• Define unique and specific definitions for the individual records within the database.
• Provide pledges to the unauthorized changes which could be made to the manual records or by using encryption software to protect these records from any change or modification that may occur to them.
• Create strong techniques to organize the records, define what exactly the record contains, when and why, and how does it evolved.
• To be able to get the records of the corporation with its metadata.
• Categorize and organize these records.
• Provide an easy way to reach these records. As people use these programs especially to save time. Also, to be able to re-use these records in an effective easy way.
• Meet all the needs of the Interior work.
• To be able to provide evidence for a particular transaction that has been done in the corporation.
• Preserve these records and store them safely.

According to the International Standard … Records Management shall

1. Establish policies and standards.
2. Assign responsibilities.
3. Issue procedures and instructions.
4. Provide services that related to ERM.
5. Organize and design systems for records management.
6. Merge records management with business systems and processes.

With the rapid development in the world of technology, it become an essential matter to use this development in managing the records electronically to save time, effort, and increase the accuracy of the work.
